Please follow the steps below to add a user to the platform:
1. Log into the Mesh platform as a user with Admin, or Pro profile or a user with permission to create other users.
2. Navigate to the Employees page.
3. Click the Add Employee button.
4. Click on the Access Permission drop-down list and select the relevant profile.
Note: An administrator can add users with all the access permissions however, a user that was granted permissions to create other users can add employees and contact only users.
5. Click on Employee.
6. Type in the user's First Name.
7. Type in the user's Last Name.
8. Type in the user's Email address. This unique identifier will be the user's login ID.
9. Type in the user's Mobile Phone number, including the country code. The Mesh platform will send users notifications and MAF codes to the configured number.
Note: You can invite a user to the platform without a phone number. This will require a domain setup on the Mesh backend.
10. To finish, click on SEND INVITATION.
11. The user's status is listed and color-coded under the Status column of the Employees page.
Notes:
- When users are added to the platform their status is Pending Login. An added user will receive an invite email from the Mesh platform with a login link.
- The invitation will expire after a week and an Admin can Resend the Invitation.
- When invited users successfully log into the platform, their status will change to Verified.
- Administrators can offboard users and their status turns into deactivate.
- Contact-only users have no access to the Mesh platform but it is possible to create and share a Mesh budget/card with those users (e.g., a contractor).
- If a user has undergone a verification process in Company A and is subsequently added/invited to Company B, both of which belong to the same Organization, that user is automatically verified in the new company and will not receive a verification email.
12. A profile page is created when you add a user and it presents all the relevant data about this user. Among other things, you can see the employee's manager, the employees they manage, the currency in which reimbursements are going to be presented, the travel policy group (i.e., tier: configurable from the UI), the employees that this user has permission to view, the default custom fields and values assigned to the user, the user's traveler profile, personal bank account to where Mesh will transfer payouts, and the cards/budgets assigned to that user.
13. Administrators can perform various actions on users even if those are still in status pending login. For example, Administrators can issue a new card, or a trip, add a new group budget, assign permissions (e.g., 'Travel Manager', 'Travel Analytics Viewer', and 'T&E delegate'), and deactivate the user.
