Please follow the steps below to grant users viewing permission.
Note, originally, permissions were provided to cards and transactions but as of Aug 2024, the viewing permissions will also affect travel-related assets (i.e., trips).Â
1. Log in as an Administrator or an Employee with permission to create other users. Â
2. Navigate to the Employees page, select the user you want to grant viewing permissions, and click the Edit button in the Viewing Permissions section.Â
3. Select either By Employees or By Properties.
3a. If you want to grant permissions By Employees click on the '+' sign and add employees from a drop-down list. You can add several employees, and if employees were added by mistake, you can click on the 'x' sign to remove them. After you add all the employees click the Apply button to store your selection. Â
3b. If you want to grant permissions By Properties, select a custom field (e.g., 'Department') and allow the employee to view all the cards/transactions related to that selection. It is also possible to apply restrictions.
For example, you can grant viewing permissions to cards/transactions of employees from a certain department (e.g., Marketing and Sales) but only for specific Account GL (i.e., another 'custom field'). After you add all the properties click the Apply button to store your selection. Â
4. Once viewing permissions are granted, the information will be listed under the Viewing Permissions section of the employee's profile.Â
5. Users who were assigned as managers can get access permissions automatically. The setup is done on the manager’s profile page.
A.P. is the manager of E.C. and A.E. and If in ‘Viewing Permissions’, the toggle is ON, A.P. will automatically get permission to see the cards and transactions of his/her employees.
Important: The viewing permission is for cards and transactions NOT trips and expenses. Every time a new user is assigned a manager that manager gets access to the cards/transactions of that user if the toggle is ON.
6. Admins should inform users who have been granted permission that they can view their cards and transactions, as well as those they have been permitted to view. Additionally, they can add a memo and upload a receipt.
Notes:
- Admin, Pro, and Auditor profiles already have viewing permissions for ALL assets. Adding the mentioned permissions is only necessary for users with an Employee profile.
- It is possible to edit the viewing permissions of unverified users.
