What is a Delegate Approver?
A Delegate Approver is a platform user authorized to act on behalf of another user in approval workflows. For example, if Jim Smith is responsible for approving a step in a published workflow for card requests but takes time off, delays may occur, leaving requests unresolved. To prevent this, Jim (or an Admin) can designate another user, such as Lara Newman, to handle approvals during his absence. Once assigned, Mesh redirects Jim’s approval tasks to Lara, allowing her to take the necessary actions. When Jim returns, he (or an Admin) can revoke the delegation, resuming his approval responsibilities.
How can users set their Delegate Approver?
Log into the Mesh platform, navigate to the bottom left, click your name, and select 'View Profile'. Scroll to the Delegate Approver section, toggle the feature ON, and select a user. To change your selection, choose a different user using the dropdown menu. To stop delegating approval tasks, toggle the feature OFF.
How can Admins set a delegate Approver on behalf of a user?
Log into the Mesh platform as an Admin, navigate to the Employees page, scroll to the 'Delegate Approver' section, toggle the feature ON, and select a user.
Notes:
- Both the original & the delegate approvers will get notifications for new approval requests.
- You can assign a Delegate Approver from your entity or any other entity in your Org.
- The Delegate Approver works with any platform workflow (e.g., GP, Subscription, Travel, and Expenses).
- If you assign a Delegate Approver but are no longer involved in approval workflows, nothing will happen. In other words, the platform will not forward approval tasks to the person you delegated approvals to.
- There is no scheduler at the moment, and there is no integration with out-of-office (OOO) calendars. In other words, users need to manually set the Delegate Approver (On or OFF).
