To increase flexibility, adhere to company policy, and accurately create trip budgets, Mesh allows you to create user groups and allocate different budgets to members of these groups when creating travel policies. The most common use case is creating user groups based on seniority (e.g., Director, VPs, CXO level, etc.).
To create and manage these groups, follow the instructions below:
1. Log into the Mesh platform as a user with permission to access the ‘Company Settings’.
2. Navigate to the 'Travel' section and click the 'Manage Group' button.
3. Click the '+ Add group' link, name the group, and click the 'Create group' button. Â
4. Repeat step # 3 to add as many groups as you need, and click the 'Save' button to store the entries.Â
Note: The groups are sorted alphabetically and will appear in that order under the relevant Travel Policies.
5. You can 'Edit' or 'Delete' a group.Â
6. All users are assigned to the 'Default' group. However, it is possible to assign users to other groups, either manually or automatically. Â
6.1. To manually assign a user to a different group, log into the platform as a user with an Admin or Pro profile, navigate the 'Employees' page, click a user's profile, manually select a group from the 'Travel Policy Group' drop-down list, and click the check mark to confirm your selection.
6.2. Mesh can automatically sync the traveler's ‘travel policy group’  from an HRIS or ERP.
6.2.1 A relevant Custom Field (CF) needs to be created.Â
6.2.2 The correct setup must be done to allow Mesh to pull the data from the HRIS or ERP.
6.2.3 When creating the travel policy groups:
6.2.3.1 The relevant CF must be selected using the 'Sync with Custom Field' button.
6.2.3.2 Relevant values must be assigned to each group using the CF dropdown menu.Â
6.2.4 If all was properly configured, the value pulled for the user from the HRIS/ERP will be used to automatically assign their 'Travel Policy Group'. This info will be available on the user's profile.Â
Note: Consult our team at support@meshpayments.com for more details about the mentioned integrations.Â
