Options refer to items that travel agents may quote. These options are presented to travelers and users involved in the trip request approval flow on the 'trip request' form. The options may include flights, hotels, flight-related services (e.g., seat or luggage upgrades), hotel-related services (e.g., early check-in, room upgrades), transportation options (e.g., car rentals, train tickets), and other services (e.g., cancellation fees, change fees, handling fees).
To view and select options, navigate to the 'Pending approval' tab under Travel, click a trip, and check its various sections.
Here are some examples:
Travelers need to click on the option to see its items. Certain sub-options can be separated from the main option (e.g., luggage and seat fees in the below example are connected to flight option # 1). If travelers want agents to include options, they need to select them.
The same is true for a hotel option.
Furthermore, additional options (e.g. Car Rental, Trains, etc.) may appear in a dedicated section below flights and hotels. Travel Agents quote these options and travelers can select the relevant ones.
Additional indications related to trip options:
1. 'Not reserved'
When trip options expire a 'Not reserved' indication appears instead of the running-down clock presented during the option's validity period.
2. Discrepancy Warning
A discrepancy warning will appear if the booked itinerary doesn't match the requested dates. Discrepancy may occur when:
- The tripβs start date differs from the departure date of the first flight.
- The tripβs end date differs from the arrival date of the last flight
In such a case, contact your Travel Manager and ask to edit the trip dates to prevent unwanted behavior (e.g., cards being disabled ahead of time).
