The Documents page streamlines the process of handling receipts.
Employees can view and take actions on their own receipts, while Administrators have the ability to view and take action on all the receipts that were uploaded to the platform.
On the upper right part of the Documents page, users can click on the upload button to manually add a receipt and also to copy the company's mailbox if the Administrators set it up. If it was not set up, Adminis are presented with a link to the Company Settings page so they can create the company's mailbox.
Functionality:
The Documents page is divided into three tabs as follows:
A. The To-Review tab hosts receipts that the platform was not able to match automatically. On this tab, users can :
- Click on an individual receipt
- Select the document type: transaction or out-of-pocket expense
- View the details
- Enter missing details if the Mesh OCR was not able to detect the various fields
- Browse the expenses presented and match the receipt manually
Notes:
1. Each tab offers various filters to help locate receipts on each relevant tab.
2. When matching receipts with expenses, you may eliminate filters if expenses to match are not presented.
3. The platform uses different icons to distinguish between receipts related to a card transaction or receipts related to out-of-pocket expenses (aka reimbursements). Each type has different steps that users need to follow while matching receipts.
3.a. Transaction
3.b. Out-of-pocket expense
B. The Done tab hosts all of the receipts that were matched automatically, and it allows users to:
- Click on a receipt
- View the transaction and the receipt details
- Detach the receipt from the transaction
- Download the receipt
C. The Trash tab hosts all of the receipts that the user marked as not relevant (aka trash). This tab allows users to Restore receipts to the To-Review tab or to delete receipts permanently.
A trash bin icon is located on the upper right part of a selected receipt on the To-Review tab. Click on this icon if you wish to trash the selected receipt and move it to the Trash tab.
Note: When you add a card's email address to a vendor's website for automated receipt collection, some vendors may send a verification email to that address. Since verification emails do not contain receipts, Mesh will not be able to match them to a transaction. As a result, these emails can be found in the To Review or Trash tabs of the Documents page.
