'Sync'(short for synchronize) refers to transferring information from the Mesh platform to a customer's financial platform (ERP), ensuring both systems have matching transactional records.
Follow the steps below to sync transactions to your ERP:ย
1. Log into the Mesh platform with a power user profile. These profiles have permission to sync transactions to an accounting platform integrated/connected to Mesh.
2. Navigate to the Transactions page and click on a completed transaction. Ensure that a receipt is attached and that the details match.ย
3. Navigate to the 'Details' section and ensure the transaction is tagged/coded properly (e.g., Spend Category, Memo, Expense tags etc.).
Note: Different integration types will offer different sync modes and coding fields.ย
4. Click on the 'Sync Now' button.ย
a. The status of a synced attempt is reported under the integration column of the data presented on the Transaction page. As soon you click on the 'Sync Now' button, the request will be placed in a queue and the status will change to processing.ย ย
b. A notification about a Success or Failure will appear shortly after. Some integrations will allow you to click on the Success label to see the data on the ERP side. If the sync fails, hover over the Failed label with your mouse to see the reason. Please consult the Mesh Support team at support@meshpayments.com if you encounter Failed messages.ย
5. To sync multiple transactions:ย
a. navigate to the Transactions page and select the transactions that you wish to sync (i.e., add a check to the checkbox of a transaction). Make sure that each transaction is tagged properly.ย
b. Navigate to the upper right corner of the Transactions page, click on the โkebabโ icon, and select Sync to [relevant ERP: in this case QuickBooks] option. Click the YES button in the following window.

6.Once a transaction is successfully synced to the ERP, its memo, spend category and coding (e.g., custom field values) cannot be changed. If the 'Lock transaction after the sync' option is enabled in the Mesh backend, invoices/receipts can be added post-sync. However, the transaction values remain uneditable, and re-syncing to the ERP is disabled to prevent duplication.
Notes:
- It is possible to sync transactions to your ERP from the Transactionsย and Accounting pages.
- Employees and Group Budget owners can not sync transactions to the ERP.ย ย
- It is NOT possible to change the coding (e.g. values of custom fields) for a transaction or an expense that was synced successfully to the ERP.ย
- Mesh offers a file based integration and although the sync process provides a similar experience, some aspects of the User Interface maybe a bit different.
