The trip dashboard provides information needed for visibility and control over all trip-related matters. For the best on-the-go travel experience, we recommend using the Mesh mobile application.
The sections below outline the dashboard view as seen from a web browser. For mobile app details, please refer to Section 8.
1. To view trips assigned to your profile navigate to the Travel page. It is possible to sort the trips by Date and Status (e.g., 'Planned', 'In progress', 'Ended', 'Closed' and 'Canceled').
2. When the Traveler clicks on a trip, the platform launches the trip's dashboard.
3. Trip dashboard
3.1. The dashboard is divided into various sections as follows:
- The upper left side displays the payment method that the traveler can use during the trip.
- The bottom left side displays the itinerary.
- The upper right side displays the Spend Categories selected for the trip alongside the status of the associated budget.
- The bottom displays a calendar view of the trip with the relevant daily charges.
3.2. To view the details of your payment method, please click on the eye icon and enter a five-digit code, sent via SMS.
Note: Some companies may not provide a Mesh card and instead instrcut the traveler to submit out-of-pocket expenses.
3.3. Before the trip begins we recommend that travelers:
- Download the Mesh mobile application.
- Add the Travel card to apps that you plan to use during your trip (e.g., Uber, Lyft, etc.)
- Add the Travel card to a Digital Wallet.
- Activate your Mesh physical Plug & Pay Card and pair it with your traveler card.
3.4. When the Traveler clicks on one of the Spend Categories, the information related to that category, including the Policy Guidelines and amounts spent, will be presented.
3.5. As soon as the Traveler consumes the trip budgets with a Mesh card and or submits expenses, the bottom part of the dashboard will get populated .
Note: The dashboard will present various icons to advise the traveler about budget violations (e.g., ‘Over budget’ and ‘Out of policy’).
4. Travelers are tasked with uploading receipts as well as categorizing expenses, if not done automatically, and adding memos as per the company's policy.
4.1. Mesh will try its best to match the spend policy but it is possible that the traveler will need to make adjustments. This is done by clicking on each transaction and selecting the relevant category from the Spend Category dropdown list.
Note: Mesh has an Auto-Coding feature that can automatically populate the Spend Category field with information based on MCC related to the transaction. Auto-coded categories (e.g., grey with stars) have a special icon compared to user-coded categories (e.g., light blue).
4.2. The Traveler needs to provide proof of purchase for each charge per the company's policy. It is possible to add receipts in various ways, including the manual option.
4.3. The Missing receipts, categories and memos icons allow the traveler to filter the relevant transactions and take the appropriate action.
5. If you incurred out-of-pocket expenses, you can submit a reimbursement request directly from the travel dashboard by clicking Add Expense +. The expense will be automatically linked to the trip and enter an approval flow, allowing you to track its progress in real time.
Alternatively, users can click the three-dots icon and then the Add expense option.
6. Travelers can perform additional tasks from the mentioned menu and also communicate with relevant people including travel agents.
7. When your trip ends, its status will update to Ended. At this stage, please submit all related expenses. Trips will automatically move to Closed based on your company’s policy (e.g., after 60 days). Once a trip is Closed, you will no longer be able to add expenses.
8. Below are a few snapshots showcasing how the trip dashboard comes to life in the mobile app—designed for visibility, simplicity, and on-the-go convenience.
Notes:
- Planned Trips: Travelers can access the dashboard for all upcoming trips.
- Ended Trips: Travelers can view dashboards for completed trips and are responsible for closing them once all expenses are settled.
- Canceled Trips: These are logged by the platform; however, the associated card will be deactivated, and no data will appear in the dashboard.
- Payment Visibility: Travelers won’t have access to the card used by a travel agent or coordinator for pre-travel bookings. However, as budget owners, they can view transactions made with their designated travel card.
